STANDARD OPERATING PROCEDURE (SOP)

TRANSPORT ARRANGEMENTS AND CONTINGENCY PLAN

 

DRIVERS

  • Drivers must carry a valid photo card driving licence at ALL times: for UK licences this is the photo card that accompanies the paper driving licence.

  • A copy of the current Insurance policy is available from Old Windsor Logistics for inspection if necessary.

  • You are responsible for driving in accordance with the Highway Code and other laws or bylaws that may exist. On certain sites such as airfields, industrial complexes, university, premises, local speed limits and conditions apply with which you must comply.

  • Drivers are responsible for ensuring the vehicle has the correct emergency equipment, the consignment documentation etc. and appropriate package labels / markings.

 

THE JOURNEY

  • Ensure you have enough fuel to complete the journey.

  • Do not leave the vehicle unattended, including when stopping at service station car parks or outside of properties.

 

CONTINGENCY PLAN / EMERGENCY ACTIONS BREAKDOWN

  • Do Not Panic. Follow police/AA/RAC guidance whilst summoning help: get out of the car and stand on the verge etc. wear the hi-vis vest and wait for help to arrive.

  • If the vehicle has to be towed away for repair you will need to make arrangements for its secure safe-keeping. Contact POC for advice and/or emergency assistance.

 

ACCIDENT: MINOR

  • Do Not Panic. If appropriate exchange vehicle registration details and contact phone  numbers. Do not get involved in arguments or explanations. Keep it simple. DO NOT ADMIT LIABILITY.

  • Make a note of damage to your and the other vehicle.

  • If necessary summon police assistance and / or breakdown assistance.

  • Follow police / AA / RAC guidance whilst summoning help: get out of the car and stand on the verge etc. wear the hi-vis vest and wait for help to arrive.

  • Check the package has remained intact.

  • If possible continue your journey or follow the instructions for breakdown.

 

ACCIDENT: MAJOR INCLUDING FIRE

  • DO NOT ADMIT LIABILITY.

  • Do not panic. Deal with life threatening conditions first: summon police, paramedics/ambulance.

  • In the event of a fire, if you can use a fire extinguisher safely do so.

  • Follow police/AA/RAC guidance whilst summoning help: get out of the car and stand on the verge etc. wear the hi-vis vest and wait for help to arrive.

  • Inform the police of the nature of your journey.

 

THEFT OR LOSS (OR ANY ACCIDENT – ONR)

  • Inform your POC. Notify the police immediately (101),

  • Police will take a brief record and issue you with an incident reference number and an officer(s) will make contact shortly afterwards; it is helpful to call from a mobile as their telephone systems do not recognise (number withheld) numbers.
